Responsibilities

  • Monitoring schedules to ensure deadlines are met, addressing conflicts in real-time, and ensuring seamless coordination of appointments and commitments.
  • Managing resource allocation and travel arrangements to minimize disruptions, reduce inefficiencies, and maintain a smooth workflow.
  • Ensuring compliance with company policies, confidentiality guidelines, and professional standards in all administrative and logistical tasks.
  • Training new support staff on scheduling processes, organizational systems, and communication protocols, providing ongoing evaluations to support professional growth.
  • Communicating updates, expectations, and key information to stakeholders for optimal productivity and smooth daily operations.
  • Maintaining a professional, organized scheduling and task management system to ensure alignment with business and personal objectives.
  • Supporting upper management with reports on scheduling efficiency, resource allocation, and continuous process improvements.

Skills & Experience

  • High school diploma or equivalent; Associate’s degree in a related field preferred.
  • Proven experience in a scheduling, administrative, or personal assistant role, ideally in a fast-paced environment.
  • Strong computer skills, including proficiency with calendar management software, communication tools, and productivity platforms.
  • Excellent attention to detail and the ability to multitask effectively, ensuring timely coordination of schedules, appointments, and tasks.
  • Strong communication and interpersonal skills to liaise with executives, clients, and team members while managing daily priorities.
  • Ability to remain calm and make decisions under pressure, particularly when handling urgent scheduling conflicts or last-minute changes.
  • Flexibility to work varying hours, including availability for urgent tasks, based on professional and personal needs.
  • Proactive and solutions-oriented mindset to ensure smooth daily operations and meet productivity goals effectively.
