Responsibilities

  • Assigning and coordinating file clerk duties to maintain an organized, efficient filing system, ensuring accurate and timely retrieval of documents across departments.
  • Monitoring and maintaining filing schedules and records management systems to ensure documents are archived correctly, retrievable in real-time, and compliant with legal and organizational standards.
  • Managing document inventory, file storage, and organization to minimize document retrieval delays, reduce physical storage needs, and optimize filing processes.
  • Ensuring compliance with company records management policies, industry regulations, and data protection guidelines.
  • Training new file clerks on filing procedures, document handling, and data management processes, providing ongoing evaluations to support professional growth.
  • Communicating filing system updates, document management best practices, and organizational changes to team members for efficient records handling.
  • Maintaining a professional, organized filing system to ensure alignment with business objectives, legal requirements, and operational efficiency.
  • Supporting management with reports on file organization, retrieval times, and document processing efficiency to drive continuous improvement.

Skills & Experience

  • High school diploma or equivalent; Associate’s degree in a related field preferred.
  • Proven experience in file management, records handling, or administrative support, ideally in a fast-paced office or business environment.
  • Strong knowledge of filing systems, document management, and organizational practices.
  • Excellent attention to detail and the ability to multitask effectively, ensuring accurate filing and timely retrieval of documents.
  • Strong communication and interpersonal skills to work with team members, resolve filing issues, and optimize document management processes.
  • Ability to remain calm and make strategic decisions under pressure, particularly when handling urgent document requests or high volumes of files.
  • Flexibility to work varying shifts, including periods of high demand, to meet business records management needs.
  • Proactive and solutions-oriented mindset to ensure smooth filing operations and meet organizational goals efficiently.
