Responsibilities

  • Monitoring resources and office supplies to ensure smooth medical office operations.
  • Ensuring compliance with healthcare regulations, office protocols, and patient confidentiality standards (HIPAA).
  • Training new medical office assistants and providing ongoing performance evaluations.
  • Communicating updates and key information to team members to ensure smooth office workflow.
  • Maintaining a professional, organized, and patient-focused office environment.
  • Supporting upper management with reports on office performance, patient outcomes, and operational improvements.

Skills & Experience

  • High school diploma or equivalent; Associate’s degree in a related field preferred.
  • Proven experience in a medical office assistant or administrative role, ideally in a healthcare setting.
  • Strong computer skills, including familiarity with medical office software, scheduling systems, and electronic health records (EHR).
  • Excellent attention to detail and ability to multitask effectively in a patient-focused role.
  • Strong communication and interpersonal skills to interact with patients, medical staff, and insurance companies while coordinating office operations.
  • Ability to remain calm and make decisions under pressure, especially when handling patient concerns or scheduling conflicts.
  • Flexibility to work varying hours, including evenings and weekends, based on office needs and patient appointments.
  • Proactive and solutions-oriented mindset to ensure smooth office operations and high levels of patient satisfaction.
