Responsibilities

  • Overseeing daily administrative tasks to ensure practice operations run efficiently and patient services are delivered on time.
  • Assigning and coordinating duties across staff to maintain high standards of patient care and meet practice goals.
  • Managing scheduling to ensure adequate coverage for appointments, procedures, and office functions.
  • Addressing real-time inquiries from patients and resolving any issues related to scheduling, billing, or services.
  • Monitoring office supplies, medical equipment, and other resources to ensure smooth operations.
  • Ensuring compliance with healthcare regulations, practice policies, and patient care standards.
  • Training new staff members and providing ongoing performance evaluations to maintain a high-functioning team.
  • Communicating updates and key information to staff to ensure seamless practice operations.
  • Maintaining a professional, organized, and patient-focused environment to enhance the overall patient experience.
  • Supporting upper management with reports on practice performance, patient satisfaction, and operational improvements.

Skills & Experience

  • High school diploma or equivalent; Associate’s degree in healthcare administration or a related field preferred.
  • Proven experience in medical office management, ideally in a fast-paced healthcare setting.
  • Strong computer skills, including familiarity with electronic health records (EHR) systems, scheduling software, and billing tools.
  • Excellent attention to detail and ability to multitask effectively in a patient-focused role.
  • Strong communication and interpersonal skills to engage with patients, staff, and healthcare providers, ensuring smooth operations.
  • Ability to remain calm and make decisions under pressure, especially when handling patient concerns or scheduling conflicts.
  • Flexibility to work varying hours, including evenings or weekends, based on practice needs and staffing requirements.
  • Proactive and solutions-oriented mindset to improve practice workflows and enhance patient satisfaction.
